Most CRM advice on the internet is written for 200-person sales teams. This guide is the opposite. If you're under 10 people, you don't need governance, role-based permissions, or a six-week implementation plan. You need something you can set up in an afternoon, that doesn't break when your co-founder shoves 200 contacts into it.
The single biggest mistake early founders make is paying for "features they'll grow into". You won't. Or you will, but later, after Series A — and by then you'll probably want to switch tools anyway. Start free: HubSpot Free or Streak Free. Upgrade only when a specific feature you're actively missing is blocking a deal.
If a CRM takes more than 1 hour to set up usefully, it will not get used. Founders are busy, hires are juniors, and "I'll instrument it later" becomes "I never instrumented it". Pick the tool that gets you to a usable pipeline the same afternoon — even if it's "less powerful" than the alternatives.
Most early-stage sales conversations live in Gmail threads. Picking a CRM that doesn't auto-sync from Gmail means hours of manual data entry — which means it won't get done.
